 How to Book your Spot:

• Once you have confirmed your attendance, via e-mail, print off the registration forms below, follow the instructions and send the completed forms and deposit cheques to Exotic Destinations Inc. 33 Harbour Square, Suite#3008, Toronto, On M5J 2G2

IN ADDITION Download the RBC Travel Insurance Waiver and include with your Registration Documents. Each guest MUST sign their own individual copy.

    Prices and Payment Schedule:

• All prices quoted are in Canadian dollars and a 50% deposit will be required upon booking. The deposit will be non-refundable if you cancel after February 15th, 2008. (See ‘Cancellation Policy’ for full details) 

• Payment can be in the form of cheque or money order made out to Exotic Destinations Inc. 

• The remaining balance will be required by March 1st, 2008. We would recommend that you send both cheques at the same time and simply post date the second cheque to March 1st, 2008.

Definitions*:

-A Tennis Playing Guest is defined as guest who will be taking part in any and all of the tennis activities at the Port Royal Racquet Club during the week of April 19^th - April 26^th, 2008.

-A Non-Tennis Playing Guest is defined as guest who is staying with at least one other Tennis Playing Guest, in the same Villa, and WILL NOT be taking part in any of the tennis activities at the Port Royal Racquet Club during the week of April 19^th - April 26^th, 2008.

Terms and Conditions

• The vacation dates are April 19th - April 26th, 2008, inclusive.

• Rates are based on double occupancy, and at least one person in each room must be Tennis Playing Guest*.

• There is no additional room charge for kids under 21, where at least one person in that room is a Tennis Guest*. Additional charges i.e.; Tennis activities, Golf, Bike Rentals etc. are still applicable for the children.

• Check in is on Saturday, April 19th, 2008 after 4:00 pm.

• The Welcome Reception will be held from 6:00 – 8:00 pm on Saturday April 19th at the Port Royal Racquet Club.

• Check out time is on Saturday, April 26th, 2008 by 12:00 pm.

• The 2008 Hilton Head TennisAccess Doubles Tournament on April 24th - April 25th, 2008 at the Port Royal Racquet Club. The Men’s Doubles and Women’s Doubles events will take place on April 24th and the Mixed Doubles on April 25th.  As a Tennis Package guest you are automatically entered in two events (one of either the Men’s Doubles or Women’s Doubles and the Mixed Doubles) and are entitled to a player’s package and ‘courtside’ luncheon both days. It will be your responsibility to find a partner for these events, but if you would like we can help match you up with a partner to ensure you have an enjoyable experience.

• Start times for the round robins, clinics and tournament will be confirmed at the Welcome Reception.

• If for any reason, any of the tennis activities need to be re-scheduled, there will be no refunds as a result of you not being able to make the re-scheduled dates and or times.

• If for any reason the “Tour Stop” portion of the vacation needs to be cancelled, a partial refund will be offered.

• Daily rounds of Golf can be booked directly with each participating Golf Club. A cost of $30 - $35 for the golf cart will be charged, per person.

• Bike Rentals can be booked directly with American Bike Rentals once you arrive.

• The $100 Dining Certificate will be given out at the Welcome Reception.

• You are responsible for transportation to and from Hilton Head Island.

• You are responsible for transportation to and from all events.

 Cancellation Policy:

• Exotic Destinations offers Cancellation/ Interruption insurance.

• Notice of cancellation must be confirmed to Exotic Destinations in writing stating the reason for the cancellation.

• Penalty for cancellations will be assessed as follows:

  • After January 31^st, 2008 – 50% of tour cost

  • Between February 15^th, 2008 and April 26^th, 2008 – 100% of tour cost

• Deposits received are 100% non refundable if you cancel after February 15^th, 2008

• All unused services of the vacation arrangements, during the vacation, including hotel accommodations, tennis activities, ground transportation and meals, are neither refundable nor exchangeable.

Trip Insurance:

• Exotic Destination strongly advises guests to purchase, prior to departure, Cancellation/Interruption Insurance as well as Out of Country Medical Insurance for those who do not have it. Exotic Destinations works with an excellent insurance company and can provide the necessary insurance for you. Should a guest decide not to purchase said insurance, he/ she will be asked to sign our waiver form.

Travel Documentation:

• It is the guests’ responsibility to obtain, at his or her expense, all documentation required by all relevant government authorities. Passports are required and must be valid for at least 6 months after exiting your last destination. In the event that the passenger does not obtain the required documentation, he/she will be denied boarding by the air carrier or refused entry into the country of destination. No refunds will be made under such circumstances.

• Exotic Destinations Inc. is licensed in Ontario with  TICO  (Travel Industry Council of Ontario, registration #50012510) 

• Exotic Destinations makes arrangements with airlines, coach companies, hotels, transfer operators and specialized suppliers to provide you with the travel services you purchase. Although Exotic Destinations Inc., TennisAccess.com and TennisAccess.com Doubles Tour Inc. take great care in selecting suppliers, Exotic Destinations Inc., TennisAccess.com and TennisAccess.com Doubles Tour Inc. are unable and do not have total control over them and therefore cannot be responsible for their acts or omissions. The travel services provided are subject to the Travel Industry Act (Ontario) and Regulations there under and are subject to the conditions imposed by the suppliers and their liability is limited by their tariffs, conditions of carriage, tickets and vouchers and international conventions and agreements. 

• Exotic Destinations Inc., TennisAccess.com and TennisAccess.com Doubles Tour Inc. shall not be responsible for any loss, damage or injury, whether physical or mental, resulting from any delay, substitution of equipment or any act or omission, negligence or commission of any party supplying any of the services accommodations herein, its agents, servants, employees, subcontractors or for any claims for such loss, damage or injury, whether physical or mental, arising there from, or from any cause that arises by reason of actions or parties other than Exotic Destinations Inc., TennisAccess.com and TennisAccess.com Doubles Tour Inc., including any acts of terrorism or acts of war. 

• Changes in the itinerary may occur for reasons beyond the control of Exotic Destinations Inc., TennisAccess.com and TennisAccess.com Doubles Tour Inc.

• Exotic Destinations Inc., TennisAccess.com and TennisAccess.com Doubles Tour Inc. are not responsible for changes to the itinerary as a result of inclement weather, acts of terrorism or war. Every effort will be made to reschedule events where possible. If the new time and location of the event is not convenient for the guest and they are unable to attend there will be no refund. A portion of the vacation cost may be refunded in the event that overall rescheduling of an event is not physically possible. 

• Exotic Destinations Inc., TennisAccess.com and TennisAccess.com Doubles Tour Inc. reserve the right to cancel this vacation as late as February 15th 2008 if a minimum number of spots are not sold.  If this occurs, those who have registered before these dates will receive a full refund. 

• Exotic Destinations Inc., TennisAccess.com and TennisAccess.com Doubles Tour Inc. reserve the right to decline any guest as a member of this vacation at any time.
